Can’t Access Shared Files? Here’s What to Do

Understand Where the Files Live

• Network Share (on-prem file server)
• SharePoint/OneDrive (cloud). The fix depends on the platform.

Network Shares (Windows)

1. Map the Drive:

• File Explorer → This PC → Map network drive
• Path: \\fileserver\Department
• Check Reconnect at sign-in.

2. Access Denied?

• Confirm you’re on the corporate network/VPN.
• Request permission via your manager/IT (least privilege).

OneDrive/SharePoint

1. Sync the Library

• In SharePoint, click Sync to add it to OneDrive.

2. Fix Sync Errors

• Open OneDrive → View sync problems.
• Rename files with invalid characters, resolve long paths.
• Ensure you’re signed into the correct account.

Good Hygiene

• Avoid “copy of copy” sprawl; use versioning in SharePoint.
• Use short names for folders to avoid long paths.
