Can’t Access Shared Files? Here’s What to Do
October 20, 2025by Levit8 IT Solutions
Understand Where the Files Live
- Network Share (on-prem file server)
- SharePoint/OneDrive (cloud). The fix depends on the platform.
Network Shares (Windows)
1. Map the Drive:
- File Explorer → This PC → Map network drive
- Path: \\fileserver\Department
- Check Reconnect at sign-in.
2. Access Denied?
- Confirm you’re on the corporate network/VPN.
- Request permission via your manager/IT (least privilege).
OneDrive/SharePoint
1. Sync the Library
- In SharePoint, click Sync to add it to OneDrive.
2. Fix Sync Errors
- Open OneDrive → View sync problems.
- Rename files with invalid characters, resolve long paths.
- Ensure you’re signed into the correct account.
Good Hygiene
- Avoid “copy of copy” sprawl; use versioning in SharePoint.
- Use short names for folders to avoid long paths.
When to Call IT
- Departmental permissions (SharePoint groups / NTFS ACLs).
- Repeated sync failures across users (tenant or policy issue).
